Getting Started
Set up your company, chart of accounts, tax and first users.
Before you begin
GrivaOne is organised around organizations and companies. An organization is your tenant; inside it you create one or more companies (legal entities or branches), each with its own chart of accounts, tax registration, document numbering and reports. All data is isolated per company.
You need an active plan and an administrator account. The administrator completes the one-time company setup wizard below, then invites the rest of the team.
Set up your first company
- Create the company. Enter its legal name, country, base currency and financial year start. The country you choose drives tax defaults and localisation.
- Add tax registration. For KSA and other GCC entities, enter the 15-digit VAT registration number and the default VAT rate (15% standard in KSA). This is required for compliant invoices.
- Load the chart of accounts. Start from the standard chart and adjust, or import your own. See Accounting for details.
- Configure document numbering. Each document type (quotation, invoice, receipt, and so on) has its own per-company sequence and prefix.
- Set branding. Upload your logo and set the address and footer that appear on printed documents.
Run the setup once, correctly
Invite your team
Under Settings → Users, invite users by email and assign a role. Roles control which modules a user can open and what they can do inside them.
- Administrator — full access, including settings, users and company configuration.
- Standard roles — scoped to specific modules such as Sales, Purchasing, Inventory or Accounting.
- Custom roles — build your own permission set when the defaults do not fit.
Learn the document flow
GrivaOne works by converting one document into the next rather than re-keying data. A quotation becomes a sales order, which becomes a delivery note and an invoice. The same idea drives purchasing. Master the sales cycle and purchase cycle first — everything else builds on them.
