FAQ

Answers to the questions teams ask most often.

Setup & accounts

Can I manage more than one company in one account?
Yes. An organization can hold multiple companies, each with its own chart of accounts, tax registration, numbering and reports. Switch between them from the company selector; data never crosses between companies.
Can I change the base currency later?
No. The base currency and financial-year start are fixed once a company has transactions, because every posted figure is stored in the base currency. Confirm both during setup.
How do I control what my team can see?
Assign each user a role under Settings → Users. Roles scope access to specific modules and actions; build a custom role when the defaults do not fit.

Documents & accounting

When does stock actually change?
On the delivery note (out) and the goods receipt (in) — not on the invoice. This keeps physical stock aligned with value even when goods move before they are billed.
Do I have to post journal entries myself?
Rarely. Finalising a document posts its double-entry automatically. You only write manual journals for adjustments such as depreciation or opening balances. See Accounting.
I made a mistake on a finalised invoice — how do I fix it?
Finalised documents cannot be edited, which protects your audit trail. Issue a credit note (sales) or debit note (purchases) to reverse the amounts, then raise a corrected document.

Compliance & reporting

Is GrivaOne ZATCA-compliant?
Yes. GrivaOne generates Phase 1 QR-coded invoices and supports Phase 2 signed UBL clearance and reporting. Phase 2 requires onboarding with your own Fatoora credentials first — see Compliance & ZATCA.
Where does the VAT return get its numbers?
From the same finalised sales and purchase invoices that feed the ledger, so the VAT return reconciles to your source documents and financial statements.
Do the reports match my ledger?
Always. Financial statements are built by reading posted general-ledger entries, the single source of truth, so reports and books cannot diverge.
